Privacy Policy

This policy explains how RainCode AI handles personal information on our website, raincodeai.ca. It is written in plain language. Questions or requests go to RainCodeAI@proton.me or (519) 276-7915.

Who we are

RainCode AI is a small software business based in Stratford, Ontario, Canada. It is run by Avery Miller.

We offer two apps, Quill and Frontdesk, and we help businesses and individuals set up custom AI tools. This policy covers this marketing website. Quill and Frontdesk each have their own privacy policy and terms, linked below.

We follow the Personal Information Protection and Electronic Documents Act (PIPEDA), the federal privacy law for private-sector organizations in Canada.

Contact form

If you use the contact form, we collect:

  • Your name
  • Your email address
  • Your business name, if you choose to give one
  • Which app or service you are interested in
  • Your message

We use this to reply to you — for example about a demo, an app, or custom AI setup. We do not sell this information, and we do not add it to a mailing list.

The form is submitted through FormSubmit (formsubmit.co). FormSubmit receives the submission and emails it to RainCodeAI@proton.me. FormSubmit processes that information in order to deliver the message. Their own privacy policy is at formsubmit.co/privacy.pdf.

Demo chat on this site

The homepage includes a Frontdesk chat widget so visitors can try the product. The widget is loaded from Frontdesk at frontdesk-eight.vercel.app.

If you open the chat and send a message, Frontdesk receives that conversation so it can answer questions about the business. If you share contact details in the chat, Frontdesk can store them as a lead so we can follow up. The widget is there to answer website questions and capture leads.

That chat is part of the Frontdesk product. How Frontdesk handles chat messages and leads is described in Frontdesk's privacy policy: frontdesk-eight.vercel.app/privacy.

Email

If you email RainCodeAI@proton.me directly, we receive the address you write from and whatever you include in the message. We use it to reply and to keep a record of the conversation.

Fonts and demo videos

This marketing site does not run its own analytics or advertising tracker.

Pages load typefaces from Google Fonts. Your browser requests those files from Google, and Google receives the usual technical details of that request, including your IP address.

Demo videos play only if you choose "Watch demo." They are embedded from YouTube (youtube-nocookie.com). YouTube then receives the usual technical details of that request. We do not control Google or YouTube.

How we use personal information

We use the information described above to:

  • Reply to questions and demo requests
  • Follow up if you ask about Quill, Frontdesk, or custom AI setup
  • Keep a record of what we discussed with you
  • Reduce spam on the contact form
  • Operate this website

Who we share it with

We share personal information only as needed to run this site and respond to you:

  • FormSubmit, to deliver contact-form messages to our email
  • Frontdesk, when you use the demo chat on this site
  • Google and YouTube, when your browser loads fonts or a demo video

We may also share information if the law requires it, or to protect the site and the people who use it.

Quill and Frontdesk

Signing up for an app, or using Quill or Frontdesk on their own websites, is covered by that app's policy and terms — not this page.

How long we keep it

We keep contact messages and emails for as long as we need them to respond and to remember what we discussed with you. You can ask us to delete that information. We will delete it unless we need to keep it to meet a legal duty or to resolve a dispute.

Your choices under PIPEDA

You can ask us to tell you what personal information we hold about you, to correct information that is wrong, to delete information we no longer need, or to withdraw consent for a use that depends on your consent.

Email RainCodeAI@proton.me or call (519) 276-7915. We may need to confirm we are writing with the right person before we share or change a record.

You can also contact the Office of the Privacy Commissioner of Canada if you have a concern about how we handle personal information.

Children

This site is meant for business owners and people looking at our apps and services. We do not knowingly collect personal information from children.

Changes

If we change this policy, we will update the date at the top of this page.
